This allows you to add to the letter codes available for global mailshots and
individually selected letters to go in Contact Details.
Letter codes are used to
record which letters/mailings/emails you have sent an account so that you
have a history of the communications you have made. Letter codes also
provide a link to the actual Word document letter or email template.
1. Select Gx CRM from the toolbar.
2. Hold the cursor over Options on the menu.
3. Hold the cursor over Options on the second menu.
4. Select Letters to Send from the third menu.
5. Enter a Code for this letter.
The system will automatically generate a letter document and a datasource by
copying a system template. You will notice that the Document Path
and Datasource path are populated with a default directory,
please see the points below if you wish to amend these.
6. Type in a Description or name for this letter.
7. Any
new Letters will automatically be assigned a Document Path by
you may amend it. Click on the ellipsis icon at the end of the
line. Use the browser to find the saved Word document letter represented
by this letter code. Double click the file to enter the pathname.
8. The Datasource Path will be inserted automatically upon saving the
Letters to Send program so you should not select anything in this column.
The data source file name will be the same as your letter code and it will
be located in C:\Calidore\Reports\CRM\Datasources.
8. Place a tick in the PDF column if you wish to generate a PDF document, however you may only do this if you have a full version of Adobe Acrobat installed and licensed on your PC.
